NeuroDesk ("we," "us," or "our") is a software platform that helps local businesses automate Google review collection through SMS and email outreach. We operate at neurodesk.ca and neurodesk.io. By using our services, you agree to the collection and use of information described in this policy.

We collect information in two ways: information you provide to us directly, and information collected automatically through your use of the platform. Information you provide: - Business name, contact name, email address, and phone number when you sign up - Payment information (processed securely through our payment provider; we do not store card details) - Customer contact information (phone numbers and email addresses) that you upload or sync for review outreach Information collected automatically: - Usage data, including pages visited, features used, and session duration - Device and browser information - IP address and approximate location

3. How We Use Your Information

We use the information we collect to: - Provide and operate the NeuroDesk platform - Send automated review requests to your customers on your behalf - Process payments and manage your subscription - Send you service updates, receipts, and support communications - Improve our platform and develop new features - Comply with legal obligations We do not sell your data or your customers' data to any third party.

4. Customer Contact Data

Contact information you provide for review outreach (customer phone numbers and email addresses) is used solely to send review requests on your behalf. This data is: - Used only for the purposes you've authorized - Never sold or shared with third parties for marketing purposes - Retained only as long as necessary to provide the service - Deleted upon account termination upon request You are responsible for ensuring you have the appropriate consent from your customers to contact them via SMS and email as required by applicable law, including CASL (Canada's Anti-Spam Legislation) and the CAN-SPAM Act.

5. SMS and Email Messaging

Review request messages are delivered through third-party communication providers. Message and data rates may apply to your customers based on their mobile carrier plans. By using NeuroDesk, you confirm that you have obtained the necessary consents to send marketing and transactional messages to your customers. Standard message frequency varies based on your plan and customer interaction volume. Customers can opt out of messages at any time by replying STOP to any SMS.

6. Payment Processing

Payments are processed by our third-party payment provider. We do not store your full credit card number, CVV, or other sensitive payment data on our servers. Your payment information is handled in accordance with PCI-DSS standards by our payment processor. Usage credits (for SMS and email delivery) are billed separately from your subscription at standard carrier rates. A valid payment method must remain on file for your account to remain active.

7. Cookies and Tracking

We use cookies and similar technologies to: - Keep you logged in to your account - Understand how you use the platform - Improve performance and user experience You can control cookie settings through your browser. Disabling cookies may affect your ability to use certain features of the platform.

8. Data Sharing

We do not sell your personal information. We may share information with: - Service providers who help us operate the platform (hosting, payment processing, communication delivery) - Professional advisors such as lawyers and accountants, where required - Law enforcement or regulatory authorities when required by law All third-party service providers are contractually required to protect your data and use it only for the purposes we specify.

We retain your account data for as long as your account is active. After account termination, we retain data for a reasonable period as required for legal and accounting purposes, then delete or anonymize it.
